The manager's week
For the directors and managers: the daily close, what to read each morning, the week's reports, staff and leave, accounts and roles, and the settings that change money.
Every day
Hotel ManagerSuper AdminTen minutes in the morning and ten at night keep the books honest.
- MorningRead the dashboardOccupancy, today's arrivals and departures, yesterday's collections, who is on duty. Every tile opens the screen behind its number. Then the bell: overnight alerts (a low stock item, a fault reported, a refund) wait there.
- MorningWalk the three boardsBookings for anyone marked expected yesterday (a late arrival or a no-show to mark), Housekeeping for rooms still Dirty with a guest arriving, and Maintenance for faults that block a room.
- DayMoney that needs a managerRefunds at the till and on folios, adjustments to a bill, a check-out with a balance still owed (“settle later”), removing a tender taken by mistake, voiding a line the kitchen already has: each needs full access, so each comes to you, and each is in the audit log with your name.
- EveningCount the tillClose the outlet's shift from the POS terminal. The till shows the cash it expects (float plus cash sales minus change and refunds) against what was counted, prints the over or short, and stamps every ticket with the shift. Open tickets must be settled or the close is refused, unless you force it.
- NightClose the business dateOn Reports, Close the day. The system freezes the day's occupancy, cash, refunds and what is still owed on open folios, measured on the hotel's own day. It refuses to close over an open shift or open tickets unless forced, so the money is counted first.
Every week
Hotel ManagerSuper AdminThe reports that answer the owners' questions, and the team matters that cannot wait.
- 1Pick the week on ReportsThe period bar sets the range and compares it with the week before. The KPI strip follows: revenue, occupancy, average rate, restaurant sales, collections.
- 2Open the areasRevenue for room money, Restaurant for the till, Housekeeping for turnaround, Staff for attendance, Inventory for what was consumed and bought. Excel and PDF exports land in the tray within a minute.
- 3Staff, attendance and leaveApprove or refuse leave requests, fill next week's rota, and read the attendance percentages. The rota refuses days inside approved leave, and duty status is worked out from the rota and attendance, never typed.
- 4Stock and purchasingLow and empty items raise alerts as the till consumes them. Create a purchase order per supplier from the low list, then receive the delivery, short if need be.
- 5Accounts and rolesNew staff get a record under Staff and, if they need the system, an account with a role. User Roles is the matrix of what each role may do; change a cell and the person's screens change within seconds.
Settings that move money
Super AdminA few switches change every bill. Know which they are before touching them.
- Taxes and “Prices include taxes”: change the figure on every new bill. They need full Settings access and an idle till, because open tickets would be re-priced mid-service.
- Room rates on Rooms: affect new quotes only, never a folio already open.
- Deposit, cancellation and no-show fees: what a booking asks for up front, and what a cancellation or a no-show costs.
- Receipts and bills: the paper the till prints on, the TIN, and the footer lines on every receipt and guest bill.
- Require an open shift to take money: on, and the till refuses tenders until a shift is open. Off, and money is still attributed to the shift open at the time, if any.
- The front-desk PIN: changing it signs out every session the old PIN opened.
Each of these is written to the audit log with the exact before and after.
